A quick guide for reclaiming Mailboxes.

When to reclaim

Mailbox reclaims are usually done only when we start to run out of available slots in the mailroom.

A players mailbox should only be reclaimed if the user has not logged in for 60 days.

However, a mailbox can also be reclaimed once a banned player’s appeal has been denied.

<aside> 🚨 Note that staff cannot swap/move their own mailbox to one that has been reclaimed until AFTER a public announcement has been made. This is so that all players have an equal opportunity to swap to a newer mailbox that may be more desirable due to number or location.

How to reclaim

• Check the player’s activity using plan or coreprotect.
• If the player has not logged in for 60d then the mailbox can be reclaimed
• To reclaim the mailbox, empty the mailbox of its contents and place all the items in a reclaim shulker. Anything like random pieces of paper or shop adverts can be discarded.
• Make sure the sign on the mailbox is cleared of names. Note: to clear colour the sign must be broken or dyed with black dye.
• Remove the player’s name from the mailbox directory book. The easiest way to do this is to make a list of mailboxes you clear as you clear them, and then edit the book all at once (if it is a long list, do it in batches so if you accidentally exist out of the book and the changes are not saved, you wont have as much work to do.) Some staff members like to make a spreadsheet to help with this.

<aside> ✋ If you have the stendhal mod installed, you may at this point want to make a backup of the book both before and after removing all the reclaimed names. You can do this via the mod and the “export book” feature.

• Place the filled reclaim shulkers in the staff area of the Reclaim building. Label the sign on the barrel with:

Mailbox Reclaims Todays Date list of staff who participated

• Once the mailbox reclaim is completely finished, one staff member should make an announcement in the #community-news channel to let players know that they can choose a new mailbox if a more desirable number or location is now available.

Reminder: Staff cannot choose a new mailbox for themselves until after the public announcement has been made.
